Extras
What a guest can add to their stay, such as breakfast or a transfer, with price, VAT, stock and where it is offered.
On Extras you set what a guest can add to their stay: breakfast, a transfer, late check-out, a bottle of wine in the room. They see these while booking and later in the mail before their arrival.
Adding an extra
At the bottom is "New extra". Fill in:
- Name and description in Dutch, English and Spanish. An empty English name takes over the Dutch one. If you leave the Spanish empty, a Spanish guest reads another language.
- "Price": including VAT, the way the guest sees it.
- "Charged per": per stay, per night, per person or per person per night. Breakfast is usually per person per night, a transfer per stay.
- "VAT rate": your own rate, if you know it. Empty follows the country's rate for the type of service below.
- "Type of service": food, drinks, transport, parking, spa and wellness or other. It sets the VAT rate when you leave your own rate empty, and the revenue group the extra falls under. Without your own rate you always choose one; Noren never picks a rate for you without saying so.
- "Maximum number": how many a guest may take per booking. Empty means as many as they want.
- "Lead time in hours": how many hours before arrival it has to be ordered.
- "Stock": how many there are, for something that can run out, such as bikes. Empty means: not counted. The maximum applies per booking, the stock to all bookings together.
- "Kind": "Revenue" for ordinary sales, "Deposit" for an amount the guest gets back. A deposit stays out of your revenue and sits separately on the bill.
- "Offer while booking" and "Offer in the email before arrival": where the guest gets to see the extra.
Then click "Add an extra".
Editing and switching off
The list shows, for each extra, the price, where it is offered, how far ahead it can be ordered and what is left in stock.
- "Edit" opens the form; "Save changes" keeps what you changed.
- "Turn off" takes an extra off the offer without deleting it. "Turn on" brings it back.
Resources: bicycles, parking spaces, the sauna, breakfast in time slots
Something that comes back, like a bicycle or an hour in the sauna, is not stock that runs out but a resource: a fixed number that is let per night or per time slot. Below the extras is the Resources block.
- At the bottom is "New resource". Give it a name and choose under "Let per": "Night of the stay" (a parking space, a bicycle, for every night of the stay) or "Time slot on a day" (the sauna by the hour, breakfast per half hour). Under "Number" you set how many can be let at the same time. For time slots you also choose the length and the hours. Click "Add resource".
- Link the resource to an extra: the extra's form has "Resource". Choose "No resource" to unlink it. The price stays on the extra, the number lives on the resource. Two extras may share one resource.
- A guest who chooses an extra with a resource per night gets it for every night of their stay. With a resource per time slot they choose a day and a time. What is full cannot be chosen, and it is never let more often than it exists, not even when two guests book at the same moment.
- "Take out of use": for a broken bicycle or a sauna under maintenance. A reason and an end date are required. What is already let stays; the screen says on which days more is let than is in use, so you can call those guests. "Back in use" puts it back.
- A lower number or other hours only works if no more is let on those days than remains; otherwise the screen says which days.
- When a guest cancels, what they had comes back by itself. When you move a booking, a resource per night moves along; if it does not fit the new dates, or a time slot falls outside the new stay, the move does not go through.
- Resources do not go to the booking platforms. A guest from a platform orders them from their stay page or after online check-in.
- What is still free per day is shown below the rooms on the Calendar.
Good to know
- What a child pays for an extra priced per person, such as breakfast, you set per age group on Rates.
- Stock goes down by itself when a guest books the extra, and comes back when that booking is cancelled. Once it runs out, nobody can book it until you raise the stock.
