Rooms

This is where you set up your property: which kinds of rooms you let and how many you have of each. What you set here decides what a guest can book and what shows on the calendar.

What you do here

• Add a room type with "Add a room type". You give a name and a description in three languages; a guest reads them on the booking page and in their confirmation. A Dutch or English name is required.
• Change a room type with "Edit" and then "Save".
• Take a room type off sale with "Take off offer". Existing bookings stay. "Put back on offer" brings it back.

If you already have your rooms in a list and have created nothing yet, "I already have them in a file" takes you to Import.

The three numbers

• "Number of rooms": how many rooms of this type you can sell at once. A change applies to every night from today. Lowering it is refused if any night has more booked than would be left.
• "Standard occupancy": up to how many people the normal price applies. Above that the per-extra-person price applies, see Rates.
• "Maximum guests": a larger party does not see this type. Standard occupancy cannot be higher than this maximum.

The rooms themselves

Open a room type and you see its individual rooms below. New rooms appear after the next nightly run.

• Type the number or name that is on the door. It is saved as soon as you leave the field; two rooms with the same number is not allowed.
• "Take out of service" asks for a reason and an end date, which is included. Then click "Out of service". The room does not count towards your occupancy on those nights and shows that way on the calendar. Nights that are already booked stay booked. "Back in service" lifts the block.
• "Properties" records what makes this room different: floor, view, bed, accessible, pets, and more. Assignment and the calendar use this. Save with "Save properties". For a property in Spain there is also "Registration number of this room", for a region that registers per room.

The whole house and other combinations

If you rent out the whole house, or two rooms with a connecting door as a family suite, make it a combined unit. With "Add a combined unit" you give it a name in three languages and an occupancy, and tick the rooms that are part of it (at least two). After "Create" it appears as its own room type, with its own base price and minimum stay on Rates.

• Whoever books it gets all those rooms. They show on the calendar as taken by that booking, and they are booked off their own room types.
• Whoever books one of those rooms blocks it. A guest already in room 1 makes the family suite unbookable on those nights, even if he could move to another room; move him yourself.
• A room may be part of more than one combination, like the whole house and the family suite. They just cannot both be sold at the same time.
• Changing the rooms happens under the room type with "Save combination". That only works when nothing is booked or reserved on it any more.
• "All rooms out of service" takes every room of the combination out of service at once, with the same reason and end date. "All rooms back in service" undoes it. If one room is out of service, the combination cannot be booked on those nights.
• A combined unit is sold on your own site, by phone and on Google by default. Turn it on for the booking platforms on Channels.
• A room that is part of a combination is not archived when you lower the number of rooms. An iCal calendar or an import on a combined unit is not available yet.

Good to know

• Taking a room out of service does not change how many rooms of the type are for sale. If you really want to sell fewer, lower the number of rooms or close the nights on the Calendar.
• "No price yet" on a card means this type has no base price yet, so it cannot be booked. A notice about nights without a price is about the next ninety days.
• Only someone who may change the property itself can create and change room types; staff cannot.
