What your guest sees
Online check-in
How your guest fills in the details of their whole party before arrival, and in Spain the document too.
With online check-in your guest fills in, before arrival, the details of everyone coming along. Nothing needs filling in on arrival. What the form asks depends on your property's country: in Spain also the document, for the legal filing. The guest needs no account: they open the form with the link from their email.
Put it together yourself
Under Online check-in, found below Your property, you choose what a guest goes through:
- The steps. What your property's country requires is fixed and has a lock: the guests with their details, confirming, and in Spain the document. You switch the rest on or off and move it with the arrows: the arrival time, your own questions, the house rules, the signature, and after sending the upgrade offer and the extras. Outside Spain check-in asks for no document and no photo of one, and you cannot switch that on: where the law does not ask for a copy, we do not keep one (in the Netherlands a copy is not even allowed). Click "Save steps".
- When it opens. By default the guest can check in as soon as the booking exists. Choose a number of days before arrival and before that day they see when it opens. Seven days fits the week-before email.
- Your own questions. With "Add question" you create an open question, a choice or a yes-or-no question, per language. Write down why you want to know: without a purpose the question cannot be saved. Answers are with the booking and are kept until a year after departure.
- House rules. Write them per language and click "Save as a new version". Guests who already signed keep the version they read; it is with the booking as a PDF.
- See it as a guest. Opens check-in with your steps in Dutch, English, Spanish or German, without saving anything.
If a question or the house rules are missing in a language, a guest in that language sees the English text, or the Dutch one if that is missing too. The screen says which languages are missing.
How the guest gets there
The link is in the week-before email. If they have not checked in yet, it is also in the two-days-before email and on their stay page. Switch on the reminder series for online check-in under Guest mails and they get reminders until the form is signed.
What the guest does
- Who is coming. One line per guest. For a travel companion they can make a separate link and share it with "Copy link" or via WhatsApp. A separate link works until 12:00 on the day of arrival.
- Details. In Spain name, date of birth and nationality, exactly as on the document. Elsewhere only first and last name are required; the rest may stay empty. If the guest booked through a booking site, the form asks for "Your own email address": that site's address stops working after the stay.
- Document, only in Spain. Under "Scan your document" the guest picks "Passport", "ID card" or "Residence document". For a passport the photo page is enough. For an ID card they first scan the front with the photo, then the back with the three lines with <<<. The phone reads the lines itself and the guest checks them. If scanning does not work, they type the lines in with "Type them in" or fill in the fields themselves.
- Your steps, in the order you chose: the arrival time, your own questions, the house rules with the box "I have read the house rules and agree", and the signature (drawn with a finger, or the name typed).
- Confirm. An overview and the box "I confirm these details are correct". "Send" passes everything to your property.
What the guest types stays on their phone; they can carry on later with the same link.
After sending
The guest sees that it is done and who is still busy with a separate link. Below that, in the order you chose: if you have a more spacious room free, they get one offer under "Something more spacious?"; the amount goes on their bill. The offer only appears in the days before arrival you choose under Rates, by default from two days before up to and including the day of arrival. If there is anything to add, there is a link to what they can order.
Early check-in and late check-out
If you sell time slots under Rates, the guest can also pick a time before your check-in time in the arrival time step, and the form asks "What time will you leave?". After sending, if it is possible, they get the time slot that fits their time under "Into your room earlier?" or "Stay a little longer?", with its price. Early is only possible if their room was empty the night before: if that room still has a departure that morning, there is no offer. Late is possible if nobody else arrives in their room that day, or if housekeeping can still get it ready in time. If they have no room yet, the time slot comes with a room that allows it, and that room stays fixed. What happens when they say yes depends on your choice: with "Ask me first" you get an attention point with "Confirm" and "Decline", with "Confirm straight away" it goes on their bill at once. You switch the early check-in and late check-out step on or off here, just like the upgrade.
WhatsApp for the guest
If you connected WhatsApp Business and the copies are approved, confirming also shows "Also send me a copy on WhatsApp", never ticked in advance, only for the lead guest, and only if they did not already choose it in the booking engine. The message goes to the phone number in their details; without a number the form asks for one, and without a country code we take the one of the booking's country, otherwise of your property. The messages before their arrival then also come on WhatsApp, alongside the email.
Good to know
- The answers and what the guest signed are with the booking on the Guests tab, with "View PDF" for the signed house rules.
- Switch the upgrade offer off and it also disappears from the stay page and the two-days-before email.
- A driving licence, a visa and a French ID card from before 2021 cannot be read. The guest fills in those details themselves.
- The photo of the document is stored encrypted and deleted as soon as the guest filing has been accepted.
- Only for a property in Spain does Noren file the details with SES.HOSPEDAJES. How that works is in Guest registration in Spain; you fill in the web service details on SES.HOSPEDAJES.
