Guest registration in Spain
The Spanish filing with SES.HOSPEDAJES: when Noren files the reservation and the guests, what you set up and what you keep an eye on yourself.
A property in Spain files two things with SES.HOSPEDAJES, the service of the Spanish Ministry of the Interior: the reservation within 24 hours of booking or cancelling, and every traveller's details within 24 hours of arrival. Noren prepares and sends both.
Real or practice
Whether a filing really reaches the authority depends on the details on the SES.HOSPEDAJES screen: the web service user, the password, the establishment code and the código de arrendador, per property.
- With those four details, that property's filings go to SES.HOSPEDAJES.
- Without them, they go to a practice service that accepts everything. "Guests" still shows "Reported", but the authority has nothing. File yourself until "Integrations" says "Connected".
- What already went to the practice service is not sent again after you connect.
The connection has not yet been tried with a real account: after your first filings, check your own SES.HOSPEDAJES account.
When a filing is made
- Reservation: as soon as a booking is confirmed. An option or enquiry only once you confirm it.
- Change: when the dates or the number of people change, also when you move the booking on the calendar. A different room does not count.
- Withdrawal: when you cancel a booking that was already filed.
- Guests: as soon as the last traveller has filled in the check-in form, with the limit of 24 hours after the start of the arrival day.
A change or withdrawal only goes once the reservation itself has been accepted. Imported bookings get no reservation filing: your previous system filed those.
What you see
- On "Guests", per arrival, "Waiting for the guest", "Being sent", "Reported" or "Needs attention". If the reservation is rejected, it says "Reservation filing rejected" with the reason.
- In the booking panel, on the "Documents" tab, each filing separately: "Guest registration", "Reservation filing", "Reservation change" or "Reservation withdrawal", with its state.
- At the top of "Guests" the overview "Reported today", with the authority's receipt number for each reported arrival. What is rejected or late also appears on "Attention". See Guests.
- Every attempt is kept with exactly what was sent: in an inspection, that is your proof.
What you do
- Fill in the details on SES.HOSPEDAJES.
- Make sure every guest checks in. See Online check-in.
- After a rejection: fix what the authority names and click "Submit again" or "Submit reservation again".
Keeping data
Document numbers and dates of birth are stored encrypted and deleted automatically three years after departure. A scan of a document goes earlier, as soon as the guest filing has been accepted.
Does this apply to you?
Only for a property in Spain; that follows from the country on "Your property". Elsewhere SES.HOSPEDAJES is not on "Integrations" and nothing is filed. See Spain and other countries.
