Money and invoices
Bill
What is on the bill of a stay, how you add an item and what happens when you take one off.
The bill is everything a guest owes for their stay, line by line: the accommodation, extras, city tax and whatever you add at the desk. You find it in the panel of a booking, on the "Bill" tab.
If the rate includes breakfast or something else, that is its own line next to the accommodation, with its own VAT. Together they are the price of the rate; see Rates.
What is on it
Each line has a description, an amount and a VAT rate. At the bottom are "Total" and "Outstanding": the sum of all lines, and how much of it is not paid yet. A line marked "Till" came from a till system through an integration. A line marked "Deposit" is a security deposit.
The accommodation and the city tax come from the price calculation. You cannot take those off, because the total would no longer match the price.
Adding an item
Under "Add an item" you pick one of two ways.
- "From the catalogue": choose an "Item" from your Extras and the "Quantity". Price and VAT come from the catalogue, and the stock count follows. An item that has run out cannot be chosen.
- "Free line": for something that is not in the catalogue. Fill in "Description", "Amount", "VAT %" and "Quantity", and under "Kind" choose "Revenue" or "Deposit".
Click "Put it on the bill". Total and outstanding go up straight away, and the log records who added the line.
Taking an item off
"Remove" takes a line that you or a till added off the bill again. If it came from the catalogue, the quantity goes back into stock. The line disappears; the log keeps a record that it was there.
Good to know
- A security deposit sits on the bill but does not count towards your revenue or your figures. When the guest gets it back, remove the line.
- In the rate plans, "Deposit" means something else: the part of the price paid up front. See Deposit.
- An item on the bill is not a payment yet. Payments are on the "Payments" tab.
- Under a guest's payment through the payment provider, that tab says In your account around and a date: an estimate of when the money reaches the property. How it is worked out: Payment provider.
- A cancelled booking can still be read, but nothing more goes on it. An enquiry takes no items; an option does.
- The description of a free line stays exactly as you type it, the same in every language.
- How the rate of a line is set: VAT. The bill is not an invoice: see Invoices.
